GDPR Privacy Policy
How we collect, store, and use your information
Order and Application Processing
This policy explains how INTERNATIONAL DRIVERS SERVICES LLC (“IDS”, “we” or “us”) handles personal information when you visit our website, submit an application, provide documents, contact us or use checkout. It describes GDPR rights where that regulation applies to our processing.
Summary
Data controller: INTERNATIONAL DRIVERS SERVICES LLC.
How we collect or obtain information about you: You provide information through applications, portrait and driving-licence uploads, delivery details and support communications. Website use also produces access and traffic-attribution information. PayMeGate checkout provides payment-related references and confirmations for order administration.
Information we collect: Your name, email, phone where supplied, birth and residence details, licence classes and selected countries; portrait and front/back licence images; file names, types, sizes and upload timestamps; selected package, shipping address, application/order identifiers, price snapshots, payment references and verification records. Website information can include browser/device details, cookies, source, medium, campaign, referring domain and a Google click identifier (gclid) where present.
How we use your information: To review the application you request, prepare the requested service, answer enquiries, administer orders, reconcile payments and protect access. Necessary contractual or pre-contractual processing falls under Article 6(1)(b). Security and ordinary support may rely on Article 6(1)(f), subject to necessity and balancing. Optional advertising requires consent where applicable. A privacy acknowledgement is not blanket advertising consent; any legal-obligation basis must relate to an applicable qualifying duty.

When You Visit Our Website
Web Server Log Information
Our Render application and PostgreSQL database are hosted in Oregon, USA. Portrait and driving-licence files are stored separately in Cloudflare R2, whose displayed bucket location is Western Europe. File metadata and application/payment records are held in the database.
Website operation can involve request information such as IP addresses, requested pages, request times and browser/device details. The exact provider log inventory and retention periods are not specified in this notice. For provider information, see the Render privacy notice and Cloudflare privacy policy.
Use of Website Server Log Information for IT Security Purposes
Technical information supports access protection, abuse prevention and investigation of security issues. The application uses browser-bound access controls, restricted administrator access and request-rate controls. Necessary security processing is distinct from optional advertising tracking and must have its own applicable legal basis.
Use of Website Server Log Information to Analyse Website Use
The website includes a Google Ads tag that communicates visit-related information to Google, including page and browser/device information. First-touch attribution can include source, medium, campaign, referring domain and gclid, and can be associated with an application and checkout snapshot.
Payment and order records can include a checkout identifier, payment reference, amount, currency and verification status. These records are distinct from advertising conversion reporting. This notice does not assert additional analytics, remarketing or enhanced-conversion settings that have not been confirmed.
Cookies
Cookies and similar browser storage support application access and attribution. The FULL and SIMPLE application-access cookies have a maximum lifetime of 30 days when issued. Browser-session attribution storage has a separate lifecycle from information saved in the database. Expiry or removal of a cookie does not erase server-side customer records.
The Google tag is included in the website’s initial page code. Optional advertising storage and tracking require prior consent where applicable, and privacy acknowledgement is not that consent. This policy itself provides no cookie-choice or withdrawal control and does not specify a complete advertising-cookie inventory. Browser settings can block or remove cookies, but do not replace required website consent controls; blocking essential access cookies may affect application access.
When You Contact Us
We receive your email address and the information included in your message, such as your name, phone number, signature and attachments. Provide only what is needed to handle your enquiry. Do not send licence images, card credentials or passwords through ordinary support email; request a secure document channel where necessary.
Enquiry Forms
The support form collects and stores your name, email address and message to handle your enquiry. Required fields are needed to submit and answer it. The support form is separate from document upload and payment processing. Support and application records are held within the website’s database infrastructure.
Phone and Post
When you contact our telephone number or business address, we use the information you provide to address your request. This notice makes no claim about call recording or support-provider practices that have not been established.
Your Rights in Relation to Your Information
- Request access to your information and an explanation of its use.
- Ask for inaccurate or incomplete information to be corrected.
- Request erasure where the applicable conditions are met.
- Request restriction of processing.
- Request a portable copy where portability applies.
- Object to legitimate-interest processing and to direct marketing.
- Withdraw consent without affecting earlier lawful processing.
- Complain to a competent data-protection supervisory authority.
Contact our privacy email to exercise these rights. Identity checks must be proportionate. GDPR responses are normally due within one month; a necessary extension of up to two further months requires notice and reasons within the first month. Rights have legal conditions and exceptions.
Disclosure of Your Information
Authorised IDS staff use information to review applications, answer enquiries and reconcile payments. Render provides application/database hosting, and Cloudflare R2 stores private image files. PayMeGate and its payment providers handle checkout and payment processing; Google provides covered advertising services under its applicable terms.
Full payment credentials are handled through the external payment service rather than collected through the IDS application form. IDS retains relevant checkout references, payment status and order information. Any necessary disclosure for legal requirements or claims must have an applicable basis and be limited to its purpose.
Do we sell your information to third parties? IDS’s stated practice is not to sell personal information. Google-related disclosures are described above. No sponsor-sharing, event-registration or purchased-mailing-list practice is asserted in this notice.
How Long We Retain Your Information
INTERNATIONAL DRIVERS SERVICES LLC keeps personal information only for as long as it is needed for the purposes for which it was collected or otherwise lawfully processed. The appropriate retention period depends on the application or service requested, the need to handle enquiries or unresolved matters, applicable legal and accounting obligations, and the establishment, exercise or defence of legal claims.
When personal information is no longer needed for these purposes, it is deleted or anonymised. You may request erasure where the applicable conditions are met. Information may be retained where a legal obligation or another applicable exception requires continued retention; it is not retained merely because it was once submitted to IDS.
How We Secure Your Information
- HTTPS protects communication with the public website.
- Browser-bound access and authorisation checks restrict access to applications and documents.
- Portrait and licence files are kept in a private R2 bucket, separately from database metadata.
- The inspected bucket has no assigned public custom domain and its public development URL is disabled.
These controls are not a privacy certification or an absolute security guarantee. Applicable breach-notification requirements depend on the law and the risks to affected people. This notice does not claim that every provider or operational safeguard has been independently verified.
Transfers of Your Information Outside the EEA
IDS is a US business. The application and PostgreSQL database operate in Oregon, USA; the R2 bucket displays Western Europe. That bucket location does not establish EU-only data residency or eliminate US application processing and access. Provider support and other processing locations may also be relevant.
Restricted transfers between entities require an applicable lawful mechanism, such as an adequacy route or appropriate safeguards including Standard Contractual Clauses where relevant. Public provider terms describe transfer provisions, but IDS’s complete applicable arrangements and safeguards have not been verified. We therefore make no claim of confirmed international-transfer safeguards or exclusive EEA processing. You may contact the privacy email for information about the arrangements applying to your data.
Sensitive Personal Information
Licence images and portraits are personal information requiring careful protection and may include additional information visible in the document or embedded in the file. A photograph is not automatically special-category biometric data; that depends on technical processing for unique identification.
The described application uses images for document review and preparation, rather than claiming a biometric-identification service. If special-category or criminal-offence information is processed, additional legal conditions and safeguards apply. Please submit only material needed for your application.
